Reputini ("we", "us", or "our") operates the Reputini platform (the "Service") to help local businesses manage their online reviews and customer feedback. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our services.

2.4 AI Reception Calls

When you call a business using our AI Reception service, the opening greeting identifies the automated receptionist and explains that the call may be transcribed. We process call audio, transcripts, caller contact details, service requests, requested appointment times, and related delivery records to answer the call, create a job card, request the business owner's approval, and send booking or callback messages.

7. SMS / Text Messaging

Reputini sends transactional and review-request text messages on behalf of the business you interact with. These messages are delivered through our SMS provider, Twilio. Examples include appointment or service confirmations, missed-call text-backs, and requests to leave a review after a completed job.

7.1 Consent

We send these messages on the basis of your consent and your existing business relationship with the business that uses Reputini. When a business adds your contact information, it confirms that it has the consent required under applicable law (including Canada's Anti-Spam Legislation, "CASL") to message you. We send messages only at the direction of that business and do not sell your phone number or use it for unrelated marketing.

7.2 Opting Out and Getting Help

  • Reply STOP to any text message to revoke consent and stop further messages, or use the unsubscribe link where provided.
  • Reply HELP for help, or contact us at privacy@reputini.com.
  • Message frequency varies based on your interactions with the business.
  • Message and data rates may apply, depending on your mobile carrier and plan.

Reputini's messaging program is registered and vetted under the A2P 10DLC standard used by U.S. carriers for application-to-person messaging. We retain delivery and opt-out records as needed to honor your preferences and to comply with carrier and legal requirements.

8. Data Retention

We retain your personal information only as long as necessary to provide our services and for legitimate business purposes. Account data is retained while your account is active and for up to 2 years after account deletion for legal and business purposes.

AI Reception transcripts are retained for up to 30 days by default, then deleted automatically. The business may retain the resulting structured job card, booking status, and communication record for its normal customer-service and legal needs. You may ask the business you called, or contact us directly, to request earlier access, correction, or deletion where applicable.

9. International Data Transfers

AI Reception call audio and transcripts may be processed by service providers, including Twilio and OpenAI, on infrastructure in the United States or other countries outside Canada. Those countries may have different privacy laws and information may be accessible to courts, law enforcement, or national-security authorities under their laws. We use contractual, access-control, encryption, and retention safeguards appropriate to the service and this Privacy Policy.

10. Children's Privacy

Our Service is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Continued use of our Service after changes constitutes acceptance of the new policy.
